If you want to organize your life a bit, the "forgotten" Apple Calendar app is a good tool to do so. You can use it to see your upcoming events, get reminded of important dates throughout the year, and even sync other calendars from other platforms like Google so you can have them all in one place. And what you probably don't know is that there are still a bunch of other features that the Calendar app offers you. Whether you're using an iPhone, iPad, or Mac, follow the article to learn tricks you might need to try.


Sync your calendars faster

It is known that you can sync other calendars in the Calendar app on your iPhone or even on your Mac. But did you know there is a way to make sync faster? Here's how to do it on the iPhone or iPad.

◉ Open Settings.

◉ Scroll down and go to Calendar.

◉ Click on Accounts.

◉ Click on Fetch New Data.

◉ Under Fetch, select the time you want the calendar to fetch to get new data.

If you are using a Mac, you can do it as follows:

◉ Open the Calendar app.

◉ Click Calendar in the menu at the top of your screen.

◉ Click Preferences.

◉ Select the Accounts tab at the top of the window.

◉ Click Refresh Calendar and select the time you want.


Use Siri to schedule or edit events

You can create or edit events without having to open the Calendar app. All you have to do is ask Siri to “Make an appointment for…”, then say the day and time. You can also add a name to the appointment, so it's easier for you and Siri to manage. Or, you can ask Siri to change the time or date of the appointment with just your voice.

And if you don't remember what you need to do for the day, you can quickly ask Siri to show you all your appointments, and it will display them on your screen and start reading them to you.


Get started with Travel Time

Travel time is a very useful feature in the calendar app. The cool thing about it is that you can enable this feature and turn on travel time. If you enter the location of your next event, your iPhone will automatically notify you when you decide to travel and how to reach your destination.

To use this feature on the iPhone, do the following:

◉ Open the Calendar app.

◉ Tap + in the upper right corner of your screen to add a new event.

◉ Create your new event and be sure to enter the location.

◉ Tap on travel time.

◉ Turn on Travel Time.

◉ If you entered a location for your event, enter the starting location.

And if you're using a Mac, do the following:

◉ Open the Calendar app.

◉ Double click on the date on which your event will be.

◉ Create your event.

◉ Enter the location of your event.

By default, Calendar should already add an option to alert me when you need to leave. If not, tap Add Alert, Repeat, or Travel Time and select that option.

Your calendar will do the rest. Note that you will need to give the Calendar app access to your location.


Give someone else control over your calendar

A great feature of Calendar is that you don't have to manage calendars yourself. Whether you have an assistant or want your friends and family to control it, you can set it up so others can control and manage your calendar without worrying about it.

For iPhone and iPad users, you must do the following:

◉ Open the Calendar app.

◉ Tap on Calendars at the bottom of the screen.

◉ Tap the “i” sign next to the calendar you want to share.

◉ Click on Add Person.

◉ Enter the email or name of the person you want to share it with.

◉ Tap on Add in the upper right corner of your screen.

◉ Make sure the person has the option to view and edit next to their name, if not, tap the name and toggle Allow editing.

◉ Tap Done in the upper right corner of your screen.

If you're using a Mac, do the following:

◉ Open the Calendar app.

◉ Locate the calendar you want to share on the left sidebar, then click on it.

◉ Select Share Calendar.

◉ In the Share With field, enter the name or email address of the person you want to share with.

◉ Make sure they can edit your calendar by clicking the down arrow on the right side of the name and selecting View and Edit.

◉ Click Done.

That's it. Just remember that you'll need to save the contact to your contact list so you can add it to your calendars.


Rotate your iPhone to view your week

This trick is only available for iPhone devices, but it's still a great trick to easily change the way you view your calendar. You can rotate your iPhone to landscape mode to see the entire week and all appointments automatically.

◉ Open the Calendar app on your iPhone.

◉ Go to your control center and disable portrait orientation lock.

◉ Go back to your calendar and rotate your iPhone.

And you can access the week view whether you're looking at your days, weeks, months, or even your year.


Make the calendar open a file automatically

One of the coolest calendar tricks is that the app can automatically open a file for you before an important event. This is ideal if you are about to give a presentation or would like to have some ready-made notes before the event.

Unfortunately, this trick only works on Macs. However, you can still add a file to your events on iPhone and iPad, but you'll have to open it yourself.

◉ Open the Calendar app on your Mac.

◉ Double click on any date to create a new event.

◉ Create the event you want.

◉ Enter the time of your event.

◉ From the drop-down menu, click Alert.

◉ Click Custom.

◉ Click Message with Sound and select Open File.

◉ Click on Calendar and select Other.

◉ Browse your files and choose the file you want to open.

◉ Select when you want the calendar app to open the file.

◉ When finished, click OK.

That's it. You can also use this option to automatically send an email, which is a great way to remind others that you have a meeting, for example.
